Salary Range: $50,896 - $55,985
Job Overview: Join our Sheriff’s Office as an Administrative Assistant, where you'll play a crucial role in coordinating and providing administrative, technical, and clerical support to our office and department head.
Key Responsibilities:- Offer administrative support by composing reports, maintaining calendars, and organizing meetings.
- Handle bookkeeping tasks such as payroll administration, account reconciliation, and credit card processing.
- Oversee daily office operations and manage part-time or subordinate staff.
- Update and maintain assigned web pages, if required.
- Reconcile payments, manage cash drawers, and adhere to cash handling guidelines.
- Complete special projects involving data collection and report preparation.
- Deliver exceptional customer service by managing calls and greeting office visitors.
- Respond to public inquiries and document requests.
- Attend and document meetings, prepare meeting packets, and record minutes.
- Perform routine clerical tasks like filing, data entry, and mail processing.
- Prepare various documents, including reports, invoices, and correspondence.
- Operate office equipment such as computers, printers, and fax machines.
- Communicate professionally with colleagues, customers, and external agencies.
- Serve as a backup for the supervisor or coworkers when necessary.
- Undertake other related duties as assigned.
Minimum Qualifications:
- High school diploma or GED required; Associate’s Degree in business or accounting preferred.
- Six years of responsible administrative experience or equivalent education and experience.
- Valid state driver’s license is mandatory.
- Notary Public certification or ability to obtain within three months of hire may be required.
- Must successfully pass a polygraph and background check.
Skills and Abilities:
- Strong knowledge of administrative processes, city policies, and departmental organization.
- Proficiency in office equipment and computer applications for data entry and word processing.
- Excellent attention to detail and strong organizational skills.
- Ability to communicate effectively and manage multiple tasks under tight deadlines.
- Strong problem-solving skills and ability to work independently.
- Ability to remain calm and efficient in stressful situations.
