Operations Manager — US Real Estate (5-LLC, multi-entity)

We're a Norfolk, VA real estate investment company operating across five LLCs — flips, wholesaling, rental portfolios in Virginia and North Carolina. After 200+ transactions since 2015, we've built strong infrastructure: automated lead-gen, AI candidate funnel, automated valuation, ClickUp ops layer, vendor stack. What we don't have is an operating layer between the owners and the departments. That's the seat.

You'll report to the operator (50% owner of the joint entities). Co-owner is consulted on cross-entity strategy. We're a HomeVestors franchise, so franchise touchpoints are part of the operating environment. The AI systems do real work — you operate them; you don't replace them.

WHAT YOU'LL DO

- Hold the operating cadence: daily standup with department leads, weekly ops review, monthly P&L + pipeline review across all 5 LLCs (month-end close spans 5 separate books with intercompany transfers between 3 of them).

- Own department KPIs: deals contracted/month, pipeline metrics, days-on-market for flips and wholesale assignments, rehab on-time/on-budget, occupancy + collection rates.

- Coordinate the closer team and bookkeeper. Develop the objection-handling playbook with the closer; keep monthly close on schedule with the bookkeeper.

- Vendor coordination (after a 90-day shadow period): primary Realtor, four property-management companies, year-end CPA. Lender relationships stay with the owner.

- Build SOPs in ClickUp where they don't exist.

- Help hire the next layer — Construction Coordinator first, then specialized roles as wholesale scales.

WHAT WE'RE NOT

- Not a junior VA seat. Not a code-writing role. Not a fully-built-playbook gig.

- The reason we need you is precisely because the playbook is half-built. You'll write the rest.

WHO REPORTS TO YOU

- Acquisitions Closer (currently hiring), Bookkeeper (recently engaged), Shared Coordinator. Future: Construction Coordinator.

WHAT WE WANT TO SEE

- 5+ years operations management experience, ideally with real estate, property management, multi-entity finance ops, or franchise operations.

- QuickBooks Online, ClickUp (or Asana / Monday), async comms, basic spreadsheet modeling.

- Self-direction. Nobody is going to remind you to schedule the weekly review or chase late close items.

- Clear communicator who can hold offshore VAs + US-local team members + external vendors all in one conversation.

- Honest about what you don't know yet.

Pay: $9-11/hr base (start at $9, raise to $11 at 90-day review). Performance bonuses: $100 per monthly close delivered on schedule, $200-500 quarterly bonus tied to books-health items resolved, annual bonus tied to deal-volume growth.

Hours: US Eastern Time business hours, Monday-Friday, 40 hrs/wk preferred, 8 AM–5 PM ET with 1-hr flex.

Type: Full-time independent contractor with a 30-day mutual evaluation period.
