We are seeking a detail-oriented, proactive Assistant Office Manager to support our leadership team in maintaining smooth daily operations, ensuring staff accountability, and delivering exceptional service to our patients.

Key Responsibilities:

  • Assist the Office Manager in overseeing day-to-day front office and administrative operations.
  • Supervise and support front desk staff to ensure professional patient interactions and efficient scheduling.
  • Ensure an exceptional patient experience by addressing inquiries, concerns, and complaints promptly and professionally.
  • Monitor team performance and provide coaching, feedback, and training as needed.
  • Assist with staff scheduling to ensure adequate coverage, including evenings and weekends.
  • Support onboarding and training of new team members.
  • Ensure compliance with OSHA, HIPAA, and practice protocols.
  • Manage insurance verification, accounts receivable, and aging reports.
  • Oversee claim submissions, follow up on unpaid/denied claims, and coordinate with the finance team on collections.
  • Resolve patient inquiries, billing questions, and escalations in a professional and timely manner.
  • Support the development and implementation of strategies to improve office efficiency, team morale, and patient satisfaction.
  • Help manage and implement office policies, ensuring consistency across departments.
  • Provide backup support for Office Manager duties when needed.

Requirements:

  • Minimum 2 years of dental office management, supervisory, or senior administrative experience (multi-doctor practice experience strongly preferred).
  • Proficiency with dental practice management software (Dentrix experience highly preferred).
  • Strong knowledge of insurance verification, billing, and collections processes.
  • Experience managing accounts receivable and following up on claims.
  • Excellent leadership, communication, and organizational skills.
  • Ability to manage, motivate, and hold staff accountable in a positive, professional way.
  • Strong problem-solving skills and the ability to manage multiple priorities.
  • Flexibility to work evenings and weekends as part of a 7-day-a-week practice.
  • Patient-first focus with a professional and polished demeanor.

Schedule:

  • Full-time position with flexibility required for evening and weekend shifts.
  • Office hours: 7:00 AM – 8:00 PM, 7 days a week.
