The receptionist position works with little to no on-site supervision. The position provides support to the business by meeting, greeting, responding to inquiries, and providing appropriate security access control for customers, vendors, and other visitors to the facility.

Job Requirements:

Lobby Security Access Control: Includes communicating with visitors and sponsoring employee of BUYER visitor the entry responsibilities, issue of appropriate BUYER security badge, badge reconciliation, assurance of accurate identification, and registration of visitors.

Facility Emergency Communication: Includes central communications coordinator in the event of an emergency, such as medical, fire, and chemical spill, natural or unnatural disaster.

Business Support: Provides telephone answering coverage in support of general business calls received by the main facility telephone number. Responds to “cold calls” and determines appropriate routing and/or resolution for the caller. Knowledge of business to include forwarding of calls to the appropriate business leadership points of contact. May assist in conference room scheduling. May provide general administrative/clerical support as approved by the BUYER Program Manager in support of business needs.

Facility Security: Monitors for inappropriate behavior that may cause personal harm or attempt to enter inappropriately; this may include monitoring and/or inspection of packages in person or via CCTV. Appropriate to the needs of the facility and may monitor and/or respond to classified area alarms.

General Lobby: Provides support to the general appearance of the main entry and assures that all lobby modifications, requests for receptionist services outside of this are approved by Security Management.

Knowledge/Skills/Abilities: 

  • Eligible to obtain and maintain a DoD Secret Clearance with the U.S. Government 
  • Interpersonal skills that provide a positive impression to Customers 
  • Organizational skills that allow for multi-tasking 
  • Ability to independently make correct decisions that may affect the safety or security of the facility occupants 
  • Minimum of a high school education 
  • Must be proficient in Microsoft Software Suite and willing and able to learn other software programs as needed 
  • One to three years of related experience desired

Receptionist:

Receptionist and all Security Officers who work the reception desks shall;

  • Maintain positive control of access to the facility through the proper identification and badging of visitors, and employees;
  • Control the movement of property through a property pass system where applicable and inspect packages and parcels prior to entering or departing the facility;
  • Be proficient in the use of a personal computer in order to access multiple security databases to verify authorized access to the facility;
  • Perform telephone switchboard operator functions per BUYER standards;
  • Coordinate with emergency personnel, e.g. fire, police, paramedics as required
  • Perform other administrative duties as may be necessary
